What your district needs to know
ParaFlowTool runs the daily para coverage your SIS was never built for — who’s assigned, who’s uncovered, and who can cover when someone’s out. Here’s how it works, how it handles data, and how it gets into your building without a rollout project.
What your team gets
- A live daily board every coordinator, para, and administrator works from
- Instant view of which students lose support when a para is out — counted per open job
- Coverage suggestions that propose who can cover, in seconds
- A clear, defensible record of who covered whom, each day
- Printable per-para schedules for clean hand-offs to a sub
- One shared schedule that updates the moment staffing shifts mid-day
Privacy and data, built in
- ParaFlowTool collects only the minimum needed to run coverage — staff names and a student’s first name with last initial. It does not store IEP documents, evaluations, grades, protected health information, or full educational records.
- Each school’s data is isolated from every other school’s at the database layer.
- Data is encrypted in transit and at rest. We never sell it, and never use it to train AI or machine-learning models.
- Our vendors, Supabase and Vercel, each hold SOC 2 Type II and ISO 27001 certifications — those belong to them, not to ParaFlowTool, which is not itself certified. Full detail is on our Privacy & Security page.
How it rolls out
No implementation project and no IT ticket. Start free, and if you already keep a schedule in Excel or Google Sheets, paste it in and ParaFlowTool builds a draft you approve. Start with one classroom or one team, prove it in a week, and expand across the building when you’re ready. Every plan’s first month is free.
Classroom
$15/month for a single teacher managing their own paras.
School
$119/month for a whole team, unlimited paras and students — $49/month for the first 25 founding schools.
Built by people who do this work
ParaFlowTool is built by Ted Scott-Smith, a special education teacher with 19 years in the classroom, and Philip Rehberger, an engineer who builds multi-tenant systems for schools and regulated businesses. It’s made for the daily reality of covering absent paras, not a generic scheduler bent to fit. More about us.
